What is FP Trax? FP Trax is a cloud-based facilities management platform that tracks parcels, assets, inventory, laundry, and smart lockers, all in one system.
What is the difference between FP Trax and TRAXsuite?

FP Trax is simply the new name for TRAXsuite. The software was officially rebranded in 2026, but the platform, features, and technology remain exactly the same.

Who makes FP Trax? FP Trax is developed and maintained by Francotyp-Postalia (FP), a German company with over 100 years of history in mail and logistics management.
What problems does FP Trax solve? FP Trax eliminates manual tracking with spreadsheets and disconnected tools, giving facilities teams real-time visibility of incoming parcels, assets, and resources across a building or campus.
Is FP Trax a SaaS platform? Yes. FP Trax is delivered as software-as-a-service (SaaS), meaning no installation is required. You access it via browser and updates happen automatically. (But can be installed on premise too)

How does parcel tracking work in FP Trax?

FP Trax tracks any physical asset: IT equipment, medical devices, furniture, tools, vehicles, and more. If it has a label or tag, it can be tracked.

Can FP Trax handle high parcel volumes?

Yes. The platform is designed for organisations receiving thousands of parcels daily, with batch scanning and automated notifications to reduce manual handling.

Does FP Trax work without barcodes on packages? FP Trax supports multiple identification methods including barcodes, QR codes, and manual entry for packages without labels. Trax can auto-generate unique tracking numbers.
Can recipients sign for parcels digitally? Yes. FP Trax supports digital proof-of-delivery, including electronic signature capture.
Does FP Trax send automatic notifications to parcel recipients? Yes. The system automatically notifies recipients via email or SMS when a parcel is logged and again when it is ready for pickup.

Can we add custom tracking fields to meet our specific requirements?

Yes. FP Trax allows you to configure up to six custom data fields during the item registration process. You can set these up using free text, checkboxes, or predefined dropdown menus to track specific internal data, such as purchase order numbers or unique reference codes.

Can we process multiple parcels for the same recipient at once? Yes, FP Trax features a shipment consolidation (bundling) tool. This allows your team to group several arriving items into a single shipment. It reduces the amount of scanning required and ensures the recipient only receives one combined delivery notification.
Can employees track their own expected deliveries? Yes. FP Trax includes a secure Employee Portal where staff can log in to view the real-time status of their expected items and review their complete delivery history, reducing the number of "Where is my parcel?" inquiries to your mailroom.
Can we restrict what certain users can do within the system?

Yes, FP Trax allows you to create and assign specific roles to your team members. These roles dictate exactly which functions a user can access and what operations they can perform. For example, you can assign a basic role where staff can only search for and view parcels, while giving managers an administrator role with full permissions to change system settings, add recipients, and manage workflows. 

Can we limit data visibility based on a user's specific location?

Yes, FP Trax supports highly customizable user-access levels. This ensures that users only see the data and logistics flows that are relevant to them. For example, if your organization operates across three different facilities, you can configure the system so that a user in Location A can only view and process the parcels flowing through Location A, keeping your multi-site data organized and secure.

How do we add and manage recipients in the system?

FP Trax offers flexible ways to manage your recipient directory based on your organization's needs:

Automatic AD Sync: For seamless management, you can set up an automatic scheduled import with your Active Directory (Azure AD/Entra). This ensures your recipient lists stay constantly up to date as employees join or leave the company.

Bulk Import: If you prefer batch updates, you can easily import multiple recipients at once by uploading an Excel file using our standardized FP Trax templates.

Do we need to contact support to make changes to the system settings or add new carriers? No, FP Trax is designed to be highly self-administrable. Authorized users have the ability to manage master data and configure system settings directly within the platform. This gives your team full, instant control over variables like parcel types, carriers, delivery statuses, and custom notification templates without ever needing to log a support ticket or call for assistance.

What types of assets can FP Trax track? FP Trax tracks any physical asset: IT equipment, medical devices, furniture, tools, vehicles, and more. If it has a label or tag, it can be tracked.
Can FP Trax track assets across multiple buildings or locations?

Yes. FP Trax supports multi-site environments, making it suited for hospitals, universities, and government facilities with multiple buildings.

Does FP Trax support mobile asset scanning? Yes. Staff can scan and update assets using smartphones or tablets. No specialist hardware is required. 
Can I schedule maintenance reminders for assets in FP Trax? Yes. You can set maintenance schedules, inspection dates, and receive automated alerts before assets are due for service.
Does FP Trax include inventory management?

Yes. The inventory module tracks stock levels, usage, and re-order thresholds for consumables and supplies.

What is the laundry management function?

The laundry function tracks uniforms, linen, and workwear, logging items in and out of circulation, owner assignments, and wash cycles. It is commonly used in healthcare and hospitality.

Can FP Trax send alerts when inventory stock runs low?

Yes. You can set minimum stock thresholds per item, and FP Trax will send automatic alerts when levels fall below the defined limit. Or set up a API-connection to your other systems is easy with our REST-API.

Can the laundry module track items per individual?

Yes. Items can be assigned to specific individuals or departments, giving you a full overview of who has what in circulation at any time.

How do facilities teams keep track of assets across a large building or campus?

FP Trax gives you a live register of every asset, where it is, who is responsible for it, and when it was last serviced. Assets are tracked via barcode or QR code scanning from any mobile device.

Is there software that tracks both letters and parcels in the same system?

Yes. FP Trax manages all incoming mail in one platform, whether it is a courier parcel, a registered letter, or internal post. You get one log, one dashboard, and one workflow.

Can organisations digitise and route incoming letters?

FP Trax handles incoming letters and post the same way it handles parcels. Mail is logged on arrival, assigned to the right recipient or department, and tracked through to collection or forwarding.

Does FP provide dedicated enterprise hardware?

Yes. If your mailroom or warehouse requires rugged, dedicated hardware, FP resells a full range of professional equipment. This includes smart lockers, handheld scanners, PDAs, label printers, and the labels themselves, ensuring your facility is fully equipped.

Do you provide installation and support for the hardware you sell?

Yes. If you purchase professional equipment through us—such as smart lockers, hand scanners, PDAs, or label printers—FP handles the installation and provides ongoing direct support. This ensures your hardware is set up correctly from day one and stays fully operational with minimal downtime.

Do we need to purchase special hardware or scanners to use FP Trax?

No, FP Trax is highly flexible. Your team can use their own existing devices (BYOD), such as standard laptops for the web application and personal or corporate smartphones for the mobile app to manage the entire tracking process.

Do we need to source the smart lockers ourselves, or can we buy them through you?

You can purchase smart lockers directly from us. FP is an official reseller of the locker hardware, allowing you to get the software and the physical storage solution from a single, trusted vendor.

Can we customize the size and layout of our smart lockers?

Yes, the smart locker configurations are highly flexible. While the lockers are built using standard columns, you can mix and match these columns to design a custom layout that perfectly fits your space. You get to decide exactly how many compartments you need and choose the specific sizes based on your organization's unique storage and delivery requirements.

Can we customize the lockers with our own corporate colors and branding?

Absolutely. As part of the basic configuration, you can select up to two standard RAL colors for the UV-resistant powder coating, or request custom Pantone colors. Additionally, we offer custom vinyl branding options, allowing you to apply your own unique design directly to the lockers to match your corporate identity.

Can the smart lockers be installed outdoors?

Yes, the lockers are specifically designed for outdoor environments. They are constructed using highly durable materials including galvanized steel, Magnelis, and stainless steel. The system is built to withstand operating temperatures from -30°C to +60°C and includes an active cooling fan for the central console. For added convenience, an optional cover roof can be mounted to protect users from rain and snow.

Will the lockers still work if there is a power outage?

Yes, if you choose to include the optional Uninterruptible Power Supply (UPS) configuration. This backup battery system provides up to one hour of continuous operation during a power failure, ensuring your logistics flow remains active.

Is it possible to add video surveillance to the locker system?

Yes. We offer an optional Video Camera Kit that includes an IP camera and a metal holder painted to match your chosen locker color. You can also pair this with our optional video storage solution, which features a Network Video Recorder (NVR) with 1TB of secure storage space.

Will we need to pay for custom IT development to connect the lockers to FP Trax?

No custom development is required. FP already partners with multiple leading locker vendors, and the integrations are pre-built into FP Trax. The system is ready to connect and operate right out of the box.

Is the system complicated for our staff to use?

Not at all. The interface is designed to be as simple and easy to use as your local public parcel locker, meaning no special training is required for your team or the recipients.

What departments can benefit from a smart locker integration?

The lockers act as one common hub for all of your organization's logistics flows. They are perfectly suited to handle deliveries, asset checkouts, and returns across your mailroom, reception desk, IT, HR, and service departments

Can employees pick up their parcels outside of normal business hours?

Yes. Smart lockers provide an always-available service that operates 24/7, making pickups completely independent of your standard office and service hours

How does the "Reserve and Deliver" locker workflow function?

With this workflow, you can reserve a locker slot in advance and then deliver the item to the locker. Once the parcel is inserted, the recipient receives an automatic notification and can easily open the door by scanning their QR code or entering a PIN code.

Can service staff / couriers deliver directly to a locker without a reservation?

Yes, using the "Direct Deliver" workflow, service staff and couriers can deliver straight to the locker without any pre-reservation required. This seamless workflow ensures instant notifications for the recipient, allowing them to effortlessly open the slot using a QR code or PIN.

How do locker returns work?

To manage a return, you simply book it in the system, which sends an automatic drop-off PIN or QR code to the sender. Once they leave the goods and close the locker door, the final recipient is immediately notified and can collect the item using their own specific code.

Is the locker system secure for high-value items?

Absolutely. The lockers provide secure access, ensuring safe storage for items while they are waiting for delivery or collection. Because it is integrated with FP Trax, you also get full traceability, allowing you to monitor and administer the entire logistics flow within one single system.

Does FP Trax integrate with ServiceNow?

Yes. FP Trax integrates with ServiceNow, allowing asset data and work orders to sync between the two platforms.

Does FP Trax integrate with Jira?

Yes. The Jira integration allows IT teams to link asset records in FP Trax with tickets and projects in Jira.

What other systems does FP Trax integrate with?

Does FP Trax have an open API? Yes. FP Trax offers a REST API for custom integrations with your existing systems.

How long does it take to implement FP Trax?

Implementation time depends on the modules and number of locations and the amount of customer data input. Many customers are live within a few hours but setting up an account is done within minutes. Our team guides you through setup, data migration, and training.

Do we need IT resources to get started with FP Trax?

No heavy IT involvement is required for standard deployments. FP Trax is a cloud service with no servers to set up. Integrations with existing systems may require some IT input.

Is training included with FP Trax?

Yes. Onboarding and training are included. We also provide ongoing support and documentation.

Can we migrate data from our existing system to FP Trax?

Yes. Our implementation team supports data migration from spreadsheets and legacy systems.

Is there a mobile app for FP Trax?

Yes. FP Trax is accessible on smartphones and tablets via mobile browser, and staff can scan barcodes and QR codes directly from a mobile device. No separate app download is required.

Can FP Trax be customized to match our workflows?

Is FP Trax GDPR compliant?

Yes. FP Trax is built to comply with GDPR. Data is processed and stored in accordance with European data protection regulations.

Can we control who has access to which data in FP Trax?

Yes. FP Trax supports role-based permissions. You decide who can see, edit, or export data - All easily handled in the settings

Where is FP Trax hosted and where is our data stored?

FP Trax is securely hosted on Microsoft Azure. Production data is processed and stored in the "Western Europe" (Netherlands) Azure region. To ensure high availability and resilience, backups are geo-redundantly replicated to the Northern Europe (Ireland) region. All customer data remains strictly within the European Union, ensuring compliance with EU data retention regulations.

How is our data encrypted and protected?

All data in transit is protected via HTTPS, with TLS 1.3 encryption prioritized and automatically negotiated. For data at rest, including production databases and all backups, FP Trax utilizes robust AES-256 encryption. Furthermore, customer databases are logically separated from each other to ensure strict tenant isolation.

 

Does FP Trax support Single Sign-On (SSO) and Multi-Factor Authentication (MFA)?

Yes. FP Trax supports seamless integration with Microsoft Entra ID via OpenID Connect. This enables centralized authentication (SSO) and allows your organization to enforce Multi-Factor Authentication (MFA) policies for an additional layer of security

What is your backup and disaster recovery strategy?

We utilize a robust backup strategy based on the 3-2-1 principle. By default, Azure Storage maintains three redundant copies of your data within the primary region. Additionally, backups are asynchronously replicated to our secondary region (Northern Europe) to ensure maximum data durability and rapid recovery in the event of an incident.

Which web browsers and mobile operating systems are supported?

The FP Trax web application is fully compatible with modern browsers including Google Chrome, Microsoft Edge, Mozilla Firefox, and Safari. The mobile application is fully supported on both Apple iOS and Android devices (Android version 8 and newer).

Does the mobile app work without an internet connection?

Yes. The FP Trax mobile app features an Offline Mode that allows staff to continue scanning items even in network dead zones. Data is cached locally on the device and automatically synchronizes once connectivity is restored, ensuring an unbroken audit trail.

Is FP Trax a cloud-based platform, or can it be installed on-premise?

FP Trax is natively a secure, cloud-based solution hosted on Microsoft Azure, which ensures high availability, automatic updates, and minimal internal IT overhead. However, to accommodate organizations with strict internal data hosting policies or specific compliance requirements, the platform can also be deployed as an on-premise installation within your own IT infrastructure.

How is FP Trax priced?

What happens to our data if we cancel?

Your data remains accessible for a defined period after cancellation, during which you can export it. After that period, data is securely deleted in accordance with GDPR. Full details are specified in your service agreement.

What is the uptime guarantee for FP Trax?

 FP Trax is hosted on enterprise-grade infrastructure with high availability. Contact our team for details on our SLA and uptime commitments for your region.

What support is available for FP Trax customers?
