Smart lockers

Available around the clock. Connected to FP Trax. No staff required.

Most mailrooms are bottlenecks. Parcels pile up because someone needs to be present to receive them, log them and notify the recipient. Smart parcel lockers remove that constraint entirely. Carriers deliver directly to the locker, recipients collect at any time using a PIN or QR code, and FP Trax records every event automatically. Your mailroom stays on even when no one is there.

Deliveries that depend on someone being there

When a parcel arrives and no one is at reception, it either waits, gets left in the wrong place or goes back to the carrier. Every missed delivery creates a follow up: a phone call, a rescheduled attempt, a complaint. Staff spend time managing the chaos that comes from a system built around presence rather than process.

Delivery handled. Recipient notified. Done.

A smart parcel locker changes the flow entirely. The carrier delivers to the locker. FP Trax logs the arrival, identifies the recipient and sends an instant notification. The recipient collects when it suits them. No one needs to be at reception. No parcel goes missing. The entire interaction is recorded in FP Trax without anyone picking up a pen.

Four ways to use a smart parcel locker with FP Trax

Every flow is tracked automatically. No manual entries. No missed notifications.

Reserve and deliver parcel

A mailroom operator reserves a locker slot in FP Trax, scans the parcel and prints a label. The slot is held for the named recipient and cannot be assigned to anyone else. When the parcel is loaded and the door is closed, FP Trax sends the recipient a notification with their collection code. They collect using a PIN or QR scan at any time of day.

Direct delivery

A courier or service provider arrives and delivers straight to the locker without any advance booking. They select the recipient at the locker terminal and scan the parcel in. FP Trax creates the record, assigns the slot and sends an instant notification to the recipient. No reception staff required. No missed handover.

Returns

An employee or service provider initiates a return in FP Trax. An automatic drop off code is sent to the sender. They deposit the item at the locker and close the door. FP Trax immediately notifies the recipient that the return is ready to collect. The full transaction is logged with timestamps on both ends.

Asset management

Keep all assets in a secure smartlocker, such as car-pool-keys, IT equipment, access badges or high-value tools to named recipients through the locker. The recipient collects using their personal code. FP Trax logs every handover with a timestamp and a name. No shared access. No ambiguity.

Smart parcel locker software for offices, campuses and multidepartment organisations

Smart parcel lockers solve one of the most persistent problems in modern workplace logistics: the dependency on a person being present at the right time and place to receive a delivery. Traditional mailroom and reception setups require staff to be available when parcels arrive, to manually log each item and to notify recipients. When that staff member is unavailable, the process breaks down. Deliveries are missed, items go unrecorded and recipients chase packages that no one can account for.

A smart parcel locker removes the human dependency from the critical path. The carrier or mailroom operator loads the locker, and from that point the process is automated. FP Trax logs the delivery, identifies the recipient from the locker terminal and sends an immediate notification with the collection code. The recipient collects at their convenience, day or night, using a PIN or QR code. The collection is logged against their name and the slot is released. The entire interaction leaves a complete audit trail with no manual input required.

The three delivery flows supported by FP Trax and smart lockers cover virtually every internal logistics scenario an organisation encounters. Prebooked deliveries are used for scheduled internal logistics where a slot is reserved in advance and assigned to a specific recipient. Direct deliveries allow couriers and service providers to deliver without advance booking, making the locker the default drop point for all incoming items. Returns allow employees and service providers to deposit items for collection, with automatic notifications sent to the receiving party. All three flows run through the same FP Trax interface and produce the same structured audit trail.

One of the most significant operational benefits is the consolidation of multiple logistics flows into a single physical hub. In a typical office or campus, different departments manage their own delivery and collection processes independently. IT has equipment to distribute. HR has onboarding and offboarding logistics. Facilities manage returns and defective items. Carriers need a drop point that does not require a staff member to be present. A single smart locker connected to FP Trax serves all of these flows simultaneously, reduces the number of separate touchpoints and gives a single management view across all activity.

For organisations where security and compliance are priorities, the audit trail provided by FP Trax is directly valuable. Every item that enters or leaves the locker is logged with a timestamp, the identity of the person who deposited it and the identity of the person who collected it. Access is controlled by individual codes that are unique to each transaction, which means no shared access and no ambiguity about who handled what. For regulated environments or organisations with internal audit requirements, this level of documentation is produced automatically as a consequence of normal operation.

Smart parcel lockers are available in indoor and outdoor configurations and can be expanded modularly as delivery volumes grow. The size and number of compartments can be configured to match the organisation's needs, and the hardware is available in different colour options to match interior design requirements. FP Trax operates independently of the specific hardware model, which means organisations can work with their preferred hardware partner while using a single software platform for tracking, notifications and reporting across all locker units.

The reduction in staff workload is measurable. Reception and mailroom teams that previously spent significant time processing incoming deliveries, notifying recipients and managing missed collections can reallocate that time to higher value tasks. The locker handles the transactional volume, and FP Trax provides the visibility and reporting that makes management straightforward. Volume reports, collection rate dashboards and individual item histories are all available directly in FP Trax without any manual data entry.

FP Trax smart parcel locker integrations are available with hardware from Flexity, Cleveron and RENZ. Each integration is fully supported and managed through the FP Trax platform. Organisations that already use FP Trax for parcel tracking, asset management or letter handling can add smart locker functionality as a module, bringing all logistics flows into the same system without replacing any existing setup. For organisations new to FP Trax, the smart locker integration is a natural entry point that delivers immediate operational impact.
